How to Calculate and Reduce No-Show Rate

Running a healthcare clinic is expensive. Specialized equipment, highly paid medical professionals, and pricey supplies contribute to high overhead and narrow profit margins. At a basic level, they are in the business of selling time in chairs, and they can only be profitable with a full calendar. Any service-based business has finite availability. There are a limited number of operatories, a limited number of providers, and only so many hours in a day. How to calculate the no-show rate

The standard formula for calculating the no-show rate:

% No-Show Rate = (Total No-Shows) / (Total Appointments) x 100

For example, a practice with 15 no-shows out of 150 total appointments would have a 10% no-show rate.

Your no-show rate should not include appointments where the patient cancelled or rescheduled according to your policies. If you allow patients to cancel or reschedule appointments up to 24 hours before their scheduled time without penalty, a cancellation made 25 hours or more before the appointment time does not qualify as a no-show.
